Small Business Technology Foundations

Get the everyday technology in your business working together, with clear ownership and people who know how to use it.

Who it is for

Owners, solo professionals, nonprofits and small teams

What we can deliver

  1. A practical review of your current tools and the problems slowing people down.
  2. Setup or improvement of agreed essentials: business email, shared files, calendars, scheduling, invoicing or customer records.
  3. Account access, multifactor authentication and backup practices appropriate to your setup.
  4. A simple operating guide and hands-on handoff for your team.

The final scope, access requirements, schedule and included handoff are agreed for your engagement.

01 / Fit

When this is a useful next step

  • Business information lives in personal accounts, separate spreadsheets or tools that only one person understands.
  • You want an organized starting point for email, shared files, scheduling and customer administration.
  • Your team needs clear instructions for everyday work and account ownership.

02 / Delivery

How the work unfolds

  1. Understand the working day

Walk through an actual inquiry, appointment or administrative task with its owner. Inventory the accounts, tools and handoffs involved, then choose the improvements that matter first.

  2. Agree on the setup

Compare keeping, configuring or replacing the relevant tools. Confirm ownership, access, recurring software costs and any data that would need to move before making a change.

  3. Configure and check

Make the agreed changes using authorized access. Check representative tasks, sharing permissions, recovery options and backup arrangements with the people who will use them.

  4. Hand over day-to-day operation

Walk the team through common tasks and recovery steps. Record who owns each system and what needs regular attention.

We agree on the scope, responsibilities, schedule and completion criteria before starting. These steps are adapted to that agreement.

03 / Handoff

What you can put to use

  • Tool and account inventory

A usable list of the systems in scope, business owners, access roles and decisions to keep or change them.

  • Configured essentials

The agreed email, file-sharing, scheduling or administrative setup, with representative tasks checked.

  • Operating guide

Instructions for routine work, adding or removing access, escalating a problem and maintaining the setup.

Your proposal identifies the included outputs, their format and the review or handoff session. Further implementation or support is agreed separately.

04 / Preparation

What we need from you

  • Bring a list of the tools and subscriptions you use and one example of a task that is difficult today.
  • Name a business owner who can approve account changes and involve the person who performs the work.
  • Provide access through an agreed secure method; keep passwords and customer records out of an initial inquiry.

Scope boundaries

The proposal names the systems, configuration changes and any migration included. Hardware purchases, software subscriptions, large data cleanup and ongoing help-desk support are scoped separately. Completion means the agreed setup and handoff have been reviewed together.

05 / Illustrative scope

What an engagement could look like

This is a planning example, not a client result or a promise of outcomes.

  • Starting situation

A small service business tracks inquiries in email and appointments in a separate calendar.

  • Agreed work

Map the inquiry-to-appointment process, agree on a shared intake record and configure the relevant calendar and access roles.

  • Useful handoff

An owner can follow the documented process, find the customer status and show a colleague how to use it. This is an illustrative scope, not a client result.

06 / Questions

Before you inquire

Do we need to replace our software?

Often the first step is improving what you already own. Replacement is considered when the current tool cannot support the agreed process, ownership or access requirements.

Can this start with one problem?

Yes. We can scope one practical starting point, such as shared business files or appointment handling, and document additional work for a later decision.

Start with a conversation.
