Make existing tools work better

Workflow Rescue & Tool Integration

Choose one frustrating process and make it easier to run. Start with the software you already have.

Fix a frustrating workflow

Quoted to scope. Deliverables, schedule and fees are agreed before work begins.

Who it is for

Teams juggling spreadsheets, duplicate entry and disconnected applications

What we can deliver

  1. A map of the current process, handoffs and recurring failure points.
  2. Configuration or integration of one agreed workflow, using supported access.
  3. Checks for missing information, failed handoffs and human approvals.
  4. Documentation, team walkthrough and a way to measure the change.

The final scope, access requirements, schedule and included handoff are agreed for your engagement.

01 / Fit

When this is a useful next step

  • People repeatedly copy the same information between tools.
  • A process stalls because a handoff, approval or exception has no clear owner.
  • You want to improve one repeatable workflow before expanding automation.

02 / Delivery

How the work unfolds

  1. Trace the current process

Follow a representative record from input to completion. Identify who makes decisions, which system holds the authoritative record and where information is lost or re-entered.

  2. Design the handoffs

Specify field mappings, triggers, approval points and exception handling. Check that the chosen tools provide supported integration or export options.

  3. Implement a bounded change

Configure the agreed connection or workflow using approved access and test records. Include a way to spot failed runs and route exceptions to a person.

  4. Validate and hand over

Walk through normal, incomplete and duplicate inputs with the process owner. Document operation, recovery and the agreed measure of improvement.

We agree on the scope, responsibilities, schedule and completion criteria before starting. These steps are adapted to that agreement.

03 / Handoff

What you can put to use

  • Current and proposed process maps

Steps, systems, record ownership and human decisions are visible in one place.

  • Working integration and checks

The scoped workflow, field mapping and results for agreed test cases, including failed or incomplete inputs.

  • Runbook and baseline

Instructions for checking runs and recovering from failure, plus a baseline such as handoff time or manual touches for later comparison.

Your proposal identifies the included outputs, their format and the review or handoff session. Further implementation or support is agreed separately.

04 / Preparation

What we need from you

  • Identify one repeatable process and its decision maker.
  • Bring representative sample records with sensitive information removed where practical.
  • Confirm subscription levels, integration permissions and who can approve changes in each system.

Scope boundaries

Scope specifies the number of systems, triggers, record types and exceptions. Historical data migration, additional workflows and continued monitoring need explicit inclusion. Results depend on supported vendor interfaces and the quality of source data.

05 / Illustrative scope

What an engagement could look like

This is a planning example, not a client result or a promise of outcomes.

  • Starting situation

An intake form is manually copied into a customer spreadsheet, then someone has to remember to follow up.

  • Agreed work

Map required fields, create a supported handoff into the agreed record system and route incomplete entries to a review queue.

  • Useful handoff

A documented workflow with test evidence and a named owner for failed handoffs. This is an illustrative scope, not a measured savings claim.

06 / Questions

Before you inquire

Does workflow improvement require AI?

No. Straightforward validation, routing and integration may solve the problem. AI is considered only when the task benefits from it and the information boundaries support it.

What if an automation fails?

The design identifies how failure is detected, who reviews it and how to resume safely. Ongoing monitoring and response coverage are agreed separately.
